DescriptionKeeping Washington Clean and EvergreenThe Solid Waste Management (SWM) program is looking to fill a *Recycling Development Center Admin/Records Coordinator (Administrative Assistant 2) *position. This administrative position reports to the Coordinator of the Recycling Development Center. This position is responsible for SWM reception and SWM records management and provides support to the Center. This position will be in our headquarters office in Lacey, Washington.We are looking for candidates who possess excellent organizational and communication skills and have a strong customer service ethic. Statewide impactsDutiesThe mission of the Solid Waste Management (SWM) program is to reduce wastes through prevention and reuse, keep toxics out of the environment, and safely manage what remains. The Recycling Development Center is tasked with facilitating research and development, marketing, and policy analysis to bolster recycling markets and processing in Washington (Chapter 70.370 Revised Code of Washington). This administrative position will be part of a team passionate about recycling, waste reduction, and implementing the work of the Center to sustainably manage materials and reduce the impacts of solid waste on the environment.Some of the key work activities of the* Recycling Development Center Admin/Records Coordinator* are to:Support the SWM program as Forms, Records, and Information Coordinator and Reception Contact:

  • Maintain SWM HQ files following retention schedules.
  • Assist staff to manage paper and electronic records following records management practices and retention schedules.
  • Stay current on all records and information management requirements, meetings, training, and communications.
  • Serve as the primary point of contact for SWM HQ reception, answering and forwarding calls, and maintaining a reception phone schedule.
  • Coordinate with the SWM Program Manager's assistant and section assistants for phone coverage, mail distribution, staff moves, employee information center updates, and other workplace services.Manage the logistics of the Center's 14 member advisory board and support the 2-3 person Center team:
  • Maintain and update the Center SharePoint site.
  • Maintain schedules for the board and team.
  • Manage board meetings, agenda, notes, room reservations.
  • Perform advanced word processing tasks (formatting for accessibility, figure captions, footnotes and endnotes, table of contents, etc.) for Center reports and documents.
  • Plan travel, process travel vouchers, approvals, and authorization.
  • Prepare and edit correspondence.
  • Set up and host webinars.
  • Track and process contracts, grants, and procurements.
  • Update the Center website content.This administrative position will help shape the direction of recycling, waste reduction, and solid waste management in Washington state. Wage/Salary depends on qualifications or rules of promotion, if applicable.QualificationsRequired Qualifications:A Bachelor's degree in business administration, public administration or closely allied field.ORA High School Diploma or GED AND four (4) years of clerical, secretarial, bookkeeping, accounting or general administrative office work experience.OROne (1) year of experience as an Administrative Assistant 1 at the department of Ecology.Clerical or office work experience may be substituted for education on a year-for-year basis.Desired Qualifications:
    • Experience coordinating meetings with a variety of attendees.
    • Experience with remote meeting technology, like video conference, WebEx, Skype or other services.
    • Experience with records management.
